Who.

The Family Firm Institute (FFI), a Boston-based organisation, bringing international attendees to the UK for their flagship conference, needed more than just a supplier – they needed a UK counterpart who could act as an extension of their team whilst maintaining their standards and ensuring the project progressed at pace.

What.

For more than thirty years, FFI has been engaged in educating, connecting and inspiring professionals who serve family enterprises. FFI understands family enterprise as a fundamental driver of global economic growth, prosperity and stability.

FFI's three-day Global Conference, themed "Mean Time, Time, Timing and Timelessness in Family Enterprise", was hosted at London Business School (LBS). Building on Powwow’s established relationship with LBS through previous events, Powwow provided comprehensive project management services, delivering:

Registration areas, networking and catering spaces – welcoming registration zones that set the the experience, alongside carefully planned networking areas that encouraged organic connections between delegates.

Multiple conference streams with breakout rooms – a complex programme structure allowing 300+ attendees to personalise their conference journey. This involved coordinating room allocations, signage, technical requirements and delegate flow between sessions, ensuring smooth transitions and minimal disruption.

Comprehensive speaker management and production coordination – from initial briefings to on-stage delivery, coordinating speaker requirements across multiple venues within the campus. This included technical rehearsals, presentation uploads, microphone checks and ensuring speakers had everything needed to deliver compelling sessions.

Two prestigious awards lunches – elegant awards ceremonies that celebrated excellence within the family enterprise sector. This involved menu planning, awards presentation logistics, photography coordination and creating an atmosphere befitting the significance of the recognition being given.

Accommodation coordination and bedroom management – seamless check-in process for delegates arriving from across the globe. Managing special requests, late arrivals and ensuring all accommodation was aligned with client expectations.

How.

Powwow leveraged our extensive working knowledge of the LBS campus and its facilities to map out the optimal structure and delegate flow across the three-day programme. Working directly with various LBS departments including space management, catering, security, branding and AV.

Our on-ground presence in London proved invaluable as we managed real-time adjustments and ensured seamless coordination between the Boston-based FFI team and London-based suppliers. This included managing the complex logistics of international delegates whilst maintaining the high standards expected by both FFI and their attendees.

The project demonstrated Powwow's ability to serve as a trusted UK extension for American clients, delivering events that meet international standards whilst navigating local intricacies with expertise and precision.
